Carelogix Note previously went live on Google Play and after weeks of rejection from Apple, we're thrilled to announce that Carelogix Note is officially going live on Apple App Store. I still remember my first rejection - I was so excited so stayed up all night trying address the issue and I fixed what I could and left the rest to my team to provide further support when they wake up. I was anxiously waiting for the next feedback and it felt like ages counting down to New Year and in moments notice we are already 12 days into 2026!

This marks the beginning of a new chapter in healthcare service delivery, where technology doesn't just support care workers—it empowers them to focus on what truly matters: the people they serve. This milestone wouldn't have been possible without the people behind it, Carelogix Sydney team and the extended team based in Vietnam.
The Dual Problem We're Solving
You cannot manage what you cannot see
Leadership with poor visibility into frontline activities is like driving in the dark with poor lights. Managers rely on outdated or incomplete reports, which hinders their ability to respond to issues promptly. Without visibility into frontline activities, leadership teams often react to problems after they occur rather than proactively preventing them. Poor oversight can lead to gaps in compliance, safety, and care quality.
Frontline worker in aged care or disability support knows the challenge all too well. You're providing hands-on care to someone who needs your full attention, yet in the back of your mind, you're already thinking about the paperwork waiting for you later. Did you remember to note the time you administered medication? What exactly did the client say about their pain levels? When did that behavioural incident start, and how long did it take to de-escalate?

By the time your shift ends and you sit down to write your reports, the details have already started to blur. You do your best to reconstruct events from memory, but inevitably, important nuances get lost. Meanwhile, managers and clinical specialists are making decisions based on incomplete information, often days or weeks after events occurred.
Medication errors are a significant issue in healthcare, often caused by miscommunication, incorrect dosages, or missed medications. These errors can lead to adverse health outcomes, hospitalisation, or even fatalities.

This highlights a potential disconnect between planning and execution, where leadership and allied health professionals may not fully understand the practical challenges faced by carers.
They are tasked with implementing care plans created by various professionals, often under challenging and unpredictable circumstances.
This disconnect between frontline care delivery and organisational oversight isn't just frustrating—it compromises the quality of care we can provide. We built Carelogix to bridge this gap.
Carelogix Platform
Carelogix consists of two interconnected applications that work together to transform how care is documented, analysed, and improved.
Carelogix Note: Your Mobile Care Companion
Carelogix Note is the mobile application designed for frontline workers who are out in the field, in clients' homes, or anywhere care happens. Think of it as your professional memory—a tool that captures everything important without pulling your attention away from the person in front of you.
The beauty of Note lies in its simplicity. When you arrive at a client's home, you tap one button to start your event. From that moment, the app begins working quietly in the background. You can record voice observations hands-free while assisting a client with daily tasks. When you administer medication, you snap before-and-after photos of the blister pack.
Every piece of data is timestamped and geotagged. When your shift ends, all of this information automatically compiles into a comprehensive report. No more sitting in your car for thirty minutes trying to remember what happened. No more taking work home because you couldn't finish your documentation on time. No more writing notes during care delivery - your hands should focus on your care recipients.
We built Carelogix Note with a bring-your-own-device approach, which means you can use the smartphone you're already comfortable with. This reduces training time and makes adoption seamless for teams of any size.

Carelogix Nexus: Intelligence at Your Fingertips
While frontline workers use Note in the field, office staff, managers, and clinical specialists rely on Carelogix Nexus, our web-based platform. Nexus is where all the data collected through Note comes together, transforming raw information into actionable insights.
Imagine being a behavior support practitioner who needs to review how a particular intervention is working for a client. Instead of reading through dozens of handwritten or typed reports, you can access Nexus and see every relevant interaction in chronological order, complete with voice transcripts, photos, and precise timing information. You can ask the AI chatbot specific questions like, "What de-escalation techniques were used in the past month?" and receive answers drawn directly from frontline observations, with clear references to the original source material.
Nexus also allows you to upload organisational documents—policies, procedures, care plans, work instructions for drafting. Our large language model are not allowed to be trained on your input. We take take data protection and safety very seriously. The platform maintains rigorous security throughout. Multi-factor authentication protects access, all data is encrypted both in transit and at rest, and everything is stored within Australia to ensure compliance with data sovereignty requirements. We've built Nexus on Microsoft Azure's infrastructure, giving you enterprise-grade reliability with regional optimisation for Australian users.
Real Impact in Real Scenarios
Let me share how Carelogix works in practice across several common situations that care organisations face every day.
Performance and Accountability
One of the most straightforward yet powerful applications is tracking when workers arrive at and depart from client locations. This isn't about surveillance—it's about creating verifiable records that protect everyone involved. When a client or family member questions whether a scheduled visit occurred, you have objective data showing exactly when your worker was on-site. When billing disputes arise, you have indisputable evidence of service delivery.
When you need to optimise scheduling across your team, you have real data about travel times and service durations to inform better decisions. These are critical component of compliance in the care sector.
At the most fundamental level, many care plans carry the weight of legal or contractual obligations, specifying not just what services must be delivered but precisely when they should occur, making accurate time tracking essential to demonstrating that organisations are fulfilling their binding commitments to clients, families, and funding bodies. This documentation simultaneously addresses workplace health and safety requirements by creating a real-time record of worker locations, which becomes critically important when staff are working alone in remote or potentially hazardous environments where knowing their whereabouts could mean the difference between a swift emergency response and a delayed one with serious consequences.
The data captured through visit tracking also satisfies the stringent record-keeping standards imposed by regulatory bodies, who expect detailed, verifiable documentation of service delivery that can withstand scrutiny during audits or investigations, while simultaneously ensuring fair billing practices by creating an indisputable record that clients are charged only for time actually spent in their care, protecting organisations from accusations of fraud or overcharging. From an employment law perspective, this tracking ensures compliance with minimum wage requirements, overtime regulations, and fair rostering practices, safeguarding workers from being underpaid while giving organisations the documentation needed to demonstrate they're meeting their obligations as employers.
Beyond compliance, this transparency serves a powerful relationship-building function by providing clients and families with verifiable assurance that care is being delivered as promised, building trust through accountability rather than simply asking for faith. Ultimately, comprehensive visit tracking transforms organisations from reactive entities scrambling to reconstruct events when questions arise into audit-ready operations with immediately accessible evidence of compliance across every dimension of their service delivery, funding agreements, and regulatory obligations.
Medication Safety
Medication administration is one area where mistakes can have serious consequences. Carelogix Note allows workers to photograph medication before and after administration, creating visual proof of what was dispensed. Combined with voice observations about whether the client actually consumed the medication, you build a complete picture of medication adherence. This becomes especially valuable when managing complex medication regimens or when medications are used as chemical restraints requiring strict monitoring and documentation.
For clinical reviewers, being able to see actual photos of medication packaging alongside timestamped observations creates confidence that protocols are being followed correctly. If issues arise, you can trace exactly what happened and when, supporting both quality improvement and regulatory compliance. Were the 13 medication rights adhered to during medication administration or any other healthcare being protocols followed?

Restrictive Practices Documentation
When restrictive practices are necessary—whether mechanical, physical, or chemical—the documentation requirements are stringent for good reason. Carelogix Note provides the ease of voice recording to capture escalation timelines, de-escalation techniques employed, and the precise duration of any restriction used. Behaviour specialists can review detailed patterns to refine support plans and reduce reliance on restrictions over time. Regulatory bodies can see comprehensive evidence of appropriate use and oversight. Most importantly, the detailed documentation itself creates accountability that naturally encourages the use of less restrictive alternatives whenever possible. How many times per service were a regulated restrictive practice implemented? How often does the organisation identify the use of an unauthorised restrictive practice within 24 hours?

Investigations and Issue Resolution
When complaints arise—whether from clients, family members, or staff—having objective evidence dramatically changes the investigation process. Instead of relying solely on conflicting recollections, you can review voice recordings, examine photos, and trace the timeline of events through timestamped logs.
This doesn't mean every complaint will be resolved in your organisation's favour, but it does mean that investigations become faster, more thorough, and more fair to everyone involved. Sometimes the evidence confirms that improvements are needed; other times it protects workers from unfounded allegations. In both cases, having clear facts helps you address issues appropriately and maintain trust.
Built on a Vision: Enabling Longer, Better Lives at Home
Everything we've built with Carelogix stems from a fundamental belief: individuals should be able to age and live with dignity longer in the comfort of their own homes. This isn't just a nice idea—it's what drives every technical decision we make.
Home represents independence, familiarity, and personal autonomy. It's where your favorite chair sits by the window, where photographs of loved ones cover the walls, where you know every creak in the floorboards. The transition to institutional care, when it happens prematurely, often marks a profound loss of these irreplaceable comforts.
Historically, one major barrier to extended home-based care has been the challenge of maintaining the same level of clinical oversight and documentation that residential facilities provide. Carelogix directly addresses this challenge. The comprehensive data capture through Note means that sophisticated, clinically robust care can be delivered seamlessly in someone's living room with the same rigor that might occur in a facility. The real-time synchronisation with Nexus ensures care coordinators maintain complete visibility without requiring the client to be physically present in a centralised location.
We're effectively extending the walls of professional care facilities to encompass any location the client chooses, transforming home-based care from a compromise into a genuinely viable, clinically sound option for more people, for longer periods of their lives.
Starting Small, Thinking Big
We're launching with a small but dedicated group of organisations who have been with us through beta testing. Currently, we're supporting fewer than ten active users processing around one thousand requests per day. This controlled start allows us to maintain the high touch support that early adopters deserve while we refine the platform based on real-world usage.
Our pricing reflects our commitment to accessibility. Individual practitioners can start with our Pro plan at thirty dollars per month, which includes the mobile Note application with voice and image capture, automated summary reports, and standard support.
The Team tier at $150 AUD dollars per month adds AI policy support, customised reporting, and priority assistance which is suited for organisations, we offer enterprise pricing that includes full integration support, comprehensive training, and dedicated account management.
We also provide discounts for annual commitments and volume pricing for organisations with extensive teams, because we want to make it financially viable for organisations of all sizes to provide better care.
What Happens Next
Going live is just the beginning. We're already working on several enhancements that our beta users have requested. The roadmap includes expanded analytics capabilities in Nexus, additional voice commands for Note, and deeper integrations with existing care management systems.
We're also committed to building based on your feedback. Every organisation has unique workflows and requirements. While we've built Carelogix with robust core functionality, we know that the real refinement happens when you start using it to solve your specific challenges.
If you're interested in learning more about how Carelogix can transform your organisation's care delivery, we invite you to reach out. Whether you're an individual support worker looking to reduce your administrative burden, a care coordinator seeking better visibility into service delivery, a clinical specialist wanting more detailed data to inform your recommendations, or informal carer such as mum/dad trying to keep track of your care recipient's records we'd love to show you what the platform can do.
A Final Thought on Privacy and Consent
Before we close, it's important to address a concern we hear frequently: what about client privacy and consent?
This question is absolutely the right one to ask, and we've built comprehensive consent mechanisms directly into the platform. We recognise that some clients will not consent to being recorded, and their right to privacy must be respected without exception. The platform includes formal consent processes integrated into service agreements, with clear explanations of how data will be collected and used.
For situations where consent isn't granted, frontline can still use the mobile app's features and can document observations privately, away from the care recipient. The technology adapts to honour individual preferences while still supporting workers in their documentation responsibilities.
We believe technology should serve human dignity, not compromise it. It should be human-led, simple by design, and built on integrity—our core values guide everything we build. It is further built on our mission for more human interaction and less documentation—enabling our vision to allow individuals to live longer in the comfort of their own homes.
